We seek a capable and seasoned Company Secretary to fill this position. The ideal incumbent should bring a track record of excellence and a deep understanding of corporate governance and compliance. He/She should be poised to drive the organisation forward, while ensuring it adheres to the highest legal and regulatory compliance standards.
Required to manage a full spectrum of corporate secretarial work for the group, including coordination and facilitating quarterly board meetings, minutes writing and resolution, as well as providing advice and support to board members.
Convening and servicing Annual General Meeting, producing agendas and recording the proceedings.
Ensure that the statutory records of a group of companies in Singapore are updated and maintained on time.
Administrate an online board portal for conducting meetings for Board members and organise director training, where appropriate.
Act as SGX authorised user/representative, prepare and release SGX announcements, and submit required documents to SGX RegCo.
Maintain Group Secretary profile with the Accounting and Corporate Regulatory Authority and perform lodgements on BizFile+.
To act as company secretary and CorpPass administrator of the listed entity and other Singapore-incorporated subsidiaries.
Coordinate with various parties on producing the Annual Report and Sustainability Report, including drafting, where necessary.
Manage, update and maintain the Company’s corporate website.
Liaise with corporate service providers, auditors, lawyers, joint venture partners and other external parties
Support Management and Board members in all aspects of corporate secretarial and compliance and handle ad-hoc projects assigned from time to time.
Requirements
Possess a Bachelor's Degree in a related field and an Institute of Chartered Secretaries and Administrators (ICSA) qualification.
At least eight years of experience managing corporate secretarial matters in a listed entity
Good knowledge of the Singapore Companies Act 1967 and SGX Listing Rules.
Bilingual with strong written and verbal communication skills.
We are looking for an innovative, dedicated executive who has the broad skill set and experience in handling tenancy work in a commercial building. The executive responsibilities include liaising with tenants for their fit-out and reinstatement work. The executive must have experience in tenancy work, with a good understanding of relevant authorities’ requirements and compliance, and be equipped with the required M&E knowledge to review tenants’ office design. Ideal candidates shall display an ability to communicate effectively with internal stakeholders, tenants, and contractors, ensuring fit-out/reinstatement works are carried out accordingly.
Liaise with the leasing team on handling and taking over retail and office units, including preparing documents/keys and units to be handover and takeover
Conduct briefing with tenants and their consultants/contractors on design requirements upon confirmation of unit tenancy
Work closely with Building and M&E team to review tenants’ office design, both architectural and M&E
Main liaison for the unit's fit-out and reinstatement works during design, fit-out period and completion
Ensure contractors submit all the required documents, deposit and PTW before the commencement of works
Conduct regular checks on site ensuring the works are in compliance and no illegal work activities
Co-ordinate with M&E team on the required testing or inspection to be carried out during the unit's fit-out and reinstatement work
Process all account opening and closing of electricity and water
Arrange for inspection with tenants and contractors upon completing fit-out or reinstatement work
Process refund of security deposit upon completion of defects and submission of all as-built drawings and authorities’ approval
Advice leasing team on architectural and M&E requirements for re-configuration and sub-division works
Call tender/quotation for all any re-configuration and sub-division works, including putting up recommendations to award the works
Requirements
Possess a Diploma / Degree in Building or Real Estate Management with at least 5 years of relevant experience in Commercial Buildings
Strong analytical skills and able to work autonomously and meet tight deadlines
Possess a high level of initiative, and strong interpersonal and communication skills
The Company provides the selected staff with a good gross salary package with shift and phone allowance. This role requires staff to work 3 shifts, six days a week.
Hands-on perform routine/periodic inspections, monitoring and checks on a variety of building services/facilities, follow up with the submission of checklist/report/defects list to the Manager and carry out necessary rectification works
To perform Installations, troubleshooting, preventive & corrective maintenance work on air-conditioning, mechanical ventilation systems and electrical systems – power & lighting, fire protection system, building management systems, plumbing & sanitary system
Attend to breakdowns, complaints/feedback, and tenant service calls on building services/facilities, perform relevant repair works and follow up with the submission of relevant service/maintenance reports to the Manager
Inspect, supervise and check on contractors and ensure that all maintenance, repair and replacement works and services undertaken by them are carried out satisfactorily and adequately in accordance with the designated work scope and specifications
Escort and supervise works carried out by contractors to ensure compliance with a method statement, risk assessment and workplace safety
Hands-on and able to carry out handyman and breakdown maintenance works (e.g. electrical, sanitary, plumbing, minor repairs etc.)
To certify the completion of jobs undertaken by contractors
Check and keep stock of inventory and submit requests for purchases
Recommend improvements, cost savings measures, inventory control, etc.
Attend to any other duties as and when required by the Manager
Requirements
Candidate must possess at least Professional Certificate/NiTEC in Electrical and/or Mechanical or equivalent
At least 3 years of experience in building servicing
Weekly rotating shift duties (3 shifts) - 7am to 4pm, 2pm to 11pm, 1030pm to 730am
6 days work week
